1. Who We Are

Talent Core Ltd ("Talent Core", "we", "us", "our") is a UK recruitment and consultancy business registered in England and Wales under company number 16748421.

We provide permanent recruitment, contract and interim staffing, and consulting and software solutions to clients in the Facilities Management, PropTech, Real Estate, Engineering, and M&E sectors.

Talent Core is the "data controller" for the personal data described in this policy, meaning we decide how and why it is processed. If you have any questions about this policy or how we handle your data, contact us at admin@talentcorerecruitment.com.

2. Who This Policy Covers

This policy applies to:

  • Candidates — anyone whose details we hold in connection with sourcing, screening, or placing them in a role, whether you applied to us directly, were referred to us, or were identified through a sourcing platform or public professional profile.
  • Client and partner contacts — individuals at companies we work with, including end clients hiring for a role and other recruitment agencies we collaborate with on a split-fee basis.
  • Website visitors — anyone browsing our website, whether or not you go on to apply for a role or contact us.

3. The Personal Data We Collect

If you are a candidate, we may collect:

  • Contact details (name, phone number, email address, location)
  • CV content (employment history, education, qualifications, professional certifications and memberships)
  • Professional profile information (e.g. your public LinkedIn profile, job title, employer, and tenure)
  • Salary expectations and current remuneration, where shared with us
  • Right-to-work status, where relevant to a specific role
  • Interview notes and feedback, where you've been put forward for a role
  • References, where you or a referee have provided them

If you are a client or partner contact, we may collect your name, job title, company, and business contact details, and records of our correspondence with you.

If you are a website visitor, we may collect standard technical data (IP address, browser type, pages visited) via cookies or similar technology — see Section 9.

We do not knowingly collect any special category data (health, religion, ethnicity, etc.) unless you volunteer it as part of a right-to-work or reasonable-adjustment conversation, in which case we only use it for that specific purpose.

4. Where Candidate Data Comes From

We collect candidate data in several ways:

  • Directly from you — a CV or application you send us, or information you give us in conversation.
  • Referrals from other candidates, clients, or contacts.
  • Sourcing and enrichment platforms we use to identify potential candidates for a role (for example, tools that search public professional profiles such as LinkedIn by company, job title, and location, and enrich the results with publicly available or professionally listed contact details).
  • Recruitment CRM and job-board tools, where you've made your profile or CV searchable.

Where we approach you rather than you approaching us, it's because we've identified a plausible match to a specific role based on your public professional profile — not because we hold a database built from any other source.

5. Why We Process Your Data, and Our Legal Basis

Assessing your suitability for a role and putting you forward to a client
Legitimate interests — operating a recruitment business, and taking pre-contractual steps at your request
Sourcing candidates who haven't applied directly, based on public professional information
Legitimate interests — balanced against your right to opt out or object at any time

6. Who We Share Your Data With

We share personal data only where it's necessary to deliver our recruitment services, and never sell it to third parties. This may include:

  • End clients — if we put you forward for a specific role, the hiring company will see your CV and relevant details. We do this with your knowledge, typically after confirming with you that you're happy to be submitted.
  • Partner recruitment agencies — we sometimes collaborate with other agencies on a split-fee basis, where a role is one of theirs and we introduce a candidate to them. In that case, your details are shared with that agency for the purpose of that specific introduction, under a written agreement that restricts them to using your data for that purpose.
  • Service providers who process data on our behalf — including our CRM, sourcing, and enrichment platforms, and communication tools. These providers only process data under our instructions and are contractually required to protect it.
  • Regulators or authorities, where we're legally required to disclose information.

We do not share special category data with anyone unless legally required to, or unless you've explicitly asked us to (for example, disclosing a reasonable-adjustment need to a client at your request).

7. International Data Transfers

Some of the platforms we use to manage candidate and client data are provided by companies based outside the UK, including in the United States. Where this means your data is transferred or stored outside the UK, we ensure appropriate safeguards are in place, such as the UK's International Data Transfer Addendum, Standard Contractual Clauses, or reliance on a provider's adequacy or certification status. You can ask us for more detail on the specific safeguards in place for any given provider.

8. How Long We Keep Your Data

We keep candidate data for as long as it's reasonably useful for finding you a role and for a limited period afterwards, to allow us to consider you for future opportunities and to meet our own record-keeping obligations. As a general rule:

  • Active candidates — for as long as you're engaging with us about opportunities.
  • Candidates we haven't placed or heard from — up to 24 months from our last meaningful contact with you, after which we'll delete or anonymise your record unless you've asked us to keep it longer.
  • Placed candidates and client records — for the duration of any placement or contract, plus a period afterwards to meet tax, accounting, and legal obligations (typically up to 6 years).

You can ask us to delete your data sooner, subject to Section 10 below.

9. Cookies and Website Analytics

Our website may use cookies or similar technologies to understand how visitors use the site and to improve it. You can control cookies through your browser settings. We do not use cookies to build advertising profiles of visitors without your consent.

10. Your Rights

Under UK GDPR, you have the right to:

  • Ask us what personal data we hold about you and receive a copy of it (a "subject access request")
  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data, where there's no good reason for us to keep processing it
  • Object to us processing your data, including for direct marketing
  • Ask us to restrict processing in certain circumstances
  • Ask for your data to be transferred to another organisation, where technically feasible
  • Withdraw consent at any time, where we're relying on consent

If you're not satisfied with how we've handled your data, you have the right to complain to the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk or on 0303 123 1113.

11. Keeping Your Data Secure

We use appropriate technical and organisational measures to protect your data, including access controls on the systems we use to store candidate and client information, and confidentiality obligations on anyone who handles your data on our behalf.

12. Children's Data

Our services are aimed at working-age adults. We do not knowingly collect data from, or market roles to, children.

13. Changes to This Policy

We may update this policy from time to time, for example as our services or the tools we use change. The version published on our website is always the current one, with the "last updated" date at the top.
